Detailed Process

1. The liability for the employees is ours. If a lawsuit emerges by employees they sue OI not you – it is our liability. The lawyers work on commission in Canada. The environment is quite litigious.

2. We will update your Policies and Procedures, Confidentiality and other agreements which you may wish to implement for the placed employees.

3. The employees sign the Employment Contract.

4. The employees are put on our virtual time keeping system which we monitor.

5. For payroll the workplace supervisor approves the time sheets.

The Process*

6. Once approval is received we process payroll including any commissions, bonuses, travel expenses reimbursement… and direct deposit the pay.

7. Once payroll is processed the designated person is sent the Payroll Register with journal entries so that it can be entered into your accounts.

8. We provide customized reports to match whatever the client requires or wants to track, i.e. vacation days, overtime, sick days (see attached), travel expenses, raises in pay, commissions, bonuses.

9. We process expense claims, and once approved, and pay the employee.

10. We provide letters of employment for employees for credit references.

The Process*

11. We provide letters to the US Customs and Border Protection Guards anytime employees travel to US on business.

12. We manage vacation days, accruals, statutory holidays, overtime (if applicable) based on your Policies and Procedures adapted by OI to ensure it meets the Canadian labour legislation.

13. We are liable for and manage Workers Comp and process claims as required (Workers Comp is processed under our numbers) In Canada Workers Comp is managed by the province the employee works in. WCB coverage is mandatory and everyone is accepted. If any client has many WCB claims the rates just go up. We provide the costs when we provide quotes on the costs of all services.

14. We are liable for and manage Health and Safety at the Workplace.

15. If required we will help find potential candidates and vet them for you for any vacancies you may have.

The Process*

16. We manage Group Benefit Plans (we have 4 plans and 6 variations to choose from) or we process your own plans.

17. We have or can manage your choice of a Pension Plan.

18. We manage/advise anything HR related either by supporting a designated Manager or, on request, we will do it directly.

19. We onboard new employees in a way to minimize legal liability.

20. We terminate employees or work on resolving issues with employees (if requested) to ensure minimum liability.

The Process*

21. We work with our own labour lawyers as well as immigration lawyers that advise us on employee issues as they arise.

22. We work with our labour lawyers anytime litigation is commenced by employees via the courts, Human Rights Tribunals or the Labour Board.

23. We issue at the end of the year T4’s for taxation purposes.

24. We issue annual T2200 declaring employee taxable benefits.
